PROCEDURE COORDINATOR
Interventional Pain & Specialty Services

Position Summary
The Procedure Coordinator is responsible for coordinating, scheduling, and managing all interventional pain procedures for the clinic. This role serves as the central point of communication between providers, patients, surgical facilities, attorneys, insurance carriers, and ancillary care teams. The Procedure Coordinator ensures that procedures are properly authorized, scheduled efficiently, and that all documentation and pre-procedure requirements are completed in a timely manner.

This role requires strong knowledge of interventional pain management procedures and experience working with Workers’ Compensation, commercial insurance, and personal injury cases. The ideal candidate is highly organized, detail-oriented, bilingual in Spanish, and comfortable working in a fast-paced medical environment.

Key Responsibilities
*Procedure Coordination
- Coordinate and schedule interventional pain procedures, including but not limited to medial branch blocks (MBB), transforaminal epidural steroid injections (TFESI), radiofrequency ablation (RF), discography, and other spine-related procedures.
- Work closely with physicians and clinical staff to ensure appropriate procedure planning and scheduling.
- Ensure all required documentation, imaging, and clinical notes are available prior to scheduling procedures.
- Communicate procedure dates, instructions, and preparation requirements with patients.

*Insurance Authorization and Case Management
- Verify insurance benefits and obtain required authorizations for procedures.
- Manage authorization processes for Workers’ Compensation, commercial insurance, and personal injury cases.
- Communicate with insurance adjusters, case managers, and lien representatives regarding approvals and documentation.
- Track authorization status and follow up to prevent scheduling delays.

*Patient Communication and Education
- Serve as the primary point of contact for patients undergoing procedures.
- Provide clear instructions regarding pre-procedure preparation and post-procedure expectations.
- Answer patient questions regarding scheduling, insurance approvals, and logistics.

*Coordination with Facilities and Providers
- Schedule procedures with surgery centers, hospitals, or in-office procedure suites.
- Coordinate provider schedules to maximize efficiency and procedure volume.
- Ensure required documentation, referrals, imaging, and authorizations are sent to the facility prior to the procedure date.

*Documentation and Workflow Management
- Maintain accurate documentation in the electronic medical record (EMR).
- Track scheduled procedures, pending authorizations, and completed procedures.
- Assist with procedure tracking reports and operational metrics.

*Operational Support
- Collaborate with front office, billing, and clinical teams to ensure seamless patient care.
- Assist with case coordination for complex personal injury or workers’ compensation cases when needed.
- Identify workflow improvements to improve procedure scheduling efficiency and patient experience.

Qualifications

**Required**
- Minimum of 3 years of experience coordinating interventional pain procedures.
- Strong knowledge of spine procedures, including MBB, TFESI, RF ablation, discography, and related interventions.
- Experience working with Workers’ Compensation, commercial insurance, and personal injury cases.
- Experience obtaining prior authorizations and working with insurance carriers.
- Strong organizational and multitasking abilities.
- Excellent communication and patient service skills.
- Experience working within an electronic medical record system.

***Highly Preferred***
- Bilingual in English and Spanish.
- Experience coordinating procedures with ambulatory surgery centers or hospital systems.
- Familiarity with lien-based personal injury workflows.
