Position Summary

Power Health Colorado is seeking an experienced, bilingual (English/Spanish) Patient Services Coordinator to serve as the first point of contact for our patients, attorneys, referral partners, and visitors.

This individual plays a vital role in creating an exceptional patient experience while ensuring smooth daily clinic operations. The ideal candidate is organized, professional, dependable, customer-service driven, and experienced working in a fast-paced medical office.

The Patient Services Coordinator is responsible for patient registration, scheduling, answering high-volume phone calls, verifying demographics and insurance information, collecting documentation, coordinating communication with providers and care coordinators, and maintaining efficient patient flow throughout the clinic.


Primary Responsibilities

Patient Reception

  • Welcome patients and visitors with professionalism and compassion.
  • Check patients in and out efficiently.
  • Verify patient demographics and contact information.
  • Collect required documentation and signatures.
  • Ensure all intake paperwork is completed accurately.
  • Maintain patient confidentiality at all times.

Scheduling

  • Schedule new and established patient appointments.
  • Coordinate appointments across multiple specialties.
  • Confirm upcoming appointments.
  • Reschedule missed or canceled appointments promptly.
  • Optimize provider schedules to maximize efficiency.
  • Work closely with Care Coordinators to ensure continuity of care.

Telephone Management

  • Answer all incoming phone calls promptly and professionally.
  • Maintain excellent phone etiquette.
  • Route calls appropriately.
  • Respond to voicemails in a timely manner.
  • Assist patients with scheduling and general inquiries.
  • Ensure phones are never left unanswered during business hours.

Front Office Operations

  • Scan and upload documents into the EMR.
  • Verify insurance and demographic information.
  • Process patient registrations.
  • Maintain organized electronic records.
  • Monitor daily schedules for accuracy.
  • Assist with provider and clinic administrative needs.
  • Maintain a clean, organized, and welcoming reception area.

Patient Experience

  • Provide exceptional customer service during every interaction.
  • Address patient concerns professionally.
  • Ensure patients feel welcomed and supported.
  • Communicate delays appropriately.
  • Help maintain a positive clinic environment.
  • Build trusting relationships with patients and referral partners.

Team Collaboration

  • Work closely with:
    • Providers
    • Medical Assistants
    • Care Coordinators
    • Billing Department
    • Clinic Leadership
  • Communicate schedule changes promptly.
  • Support clinic workflow throughout the day.
  • Assist other departments as needed.

Qualifications

Required

  • Fluent in English and Spanish (written and verbal)
  • Minimum 2 years of experience in a medical front office, medical receptionist, patient services, or healthcare customer service role
  • Experience with Electronic Medical Records (EMR)
  • Strong computer proficiency

Daily Responsibilities

  • Answer all incoming calls promptly.
  • Check patients in and out efficiently.
  • Schedule and confirm appointments.
  • Review the next day's schedule for completeness.
  • Scan and upload documentation.
  • Maintain accurate patient records.
  • Respond to voicemails before the end of the day.
  • Communicate effectively with providers and Care Coordinators.
  • Support overall clinic operations.
